1. About This Privacy Policy

Your privacy matters to me. This Privacy Policy explains what personal information may be collected when you visit this website, contact me, subscribe to my emails, purchase a product or service, or work with me through Emma Jack Coaching.

It also explains how that information may be used, stored, shared, and protected, as well as the choices you have regarding your personal information.

This website and the services offered through Emma Jack Coaching are intended for coaching, education, business support, professional development, and related resources.

Coaching is not physiotherapy, healthcare, or medical treatment. Information collected in connection with Emma Jack Coaching is not collected as part of a physiotherapy provider-patient relationship.

Personal information is handled in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) where applicable, and Canada's Anti-Spam Legislation (CASL) in relation to commercial electronic communications.

2. Who We Are

This website and Emma Jack Coaching are operated by Emma Jack.

Emma Jack is responsible for the personal information under her control and acts as the privacy contact for the business.

If you have questions about this Privacy Policy or how your personal information is handled, you can contact:

3. Information We May Collect

The information collected depends on how you choose to interact with the website and the business.

Contact and Inquiry Information

If you contact me through the website, email me, complete an inquiry form, or otherwise reach out, I may collect information such as:

  • your name;

  • your email address;

  • your telephone number, if you choose to provide it;

  • your profession, role, or business information, where relevant to your inquiry; and

  • any other information you choose to include in your message.

This information is used primarily to understand and respond to your inquiry.

Contacting me does not automatically subscribe you to my email marketing list.

Coaching and Service Information

If you choose to work with me, I may collect information reasonably necessary to provide coaching or other services, including:

  • your name and contact information;

  • scheduling and appointment information;

  • professional or business information;

  • goals, priorities, challenges, and areas you would like to work on;

  • responses to coaching questionnaires, reflection exercises, or intake forms;

  • notes and correspondence related to our work together; and

  • other information you voluntarily choose to share as part of the coaching relationship.

Because coaching conversations can be personal, you may sometimes choose to share information about your experiences or circumstances. I only ask for information that is reasonably relevant to the coaching relationship and the services being provided.

Emma Jack Coaching does not provide medical diagnosis, treatment, physiotherapy, psychotherapy, or other healthcare services.

Email Subscription Information

If you choose to subscribe to my email list, I may collect information such as:

  • your name; and

  • your email address.

Email subscriptions are managed through Kit, formerly known as ConvertKit, a third-party email marketing platform.

Subscribing to my emails is voluntary and is separate from contacting me, purchasing something, or participating in coaching.

Purchase and Transaction Information

If you purchase a product, program, event, resource, coaching service, or other offering, I may collect information related to that transaction, including:

  • your name;

  • email address;

  • billing information;

  • the product or service purchased;

  • transaction amount;

  • date of purchase;

  • payment status;

  • refunds, where applicable; and

  • related transaction history.

Payments may be processed through Stripe, a third-party payment processor.

Stripe may collect the payment and financial information necessary to complete your transaction. I do not directly receive or store your complete payment-card number or card security code.

Website and Technical Information

When you visit this website, certain technical or usage information may be collected automatically by the website platform and related technologies. This may include information such as:

  • IP address;

  • browser and device information;

  • operating system;

  • pages viewed;

  • referring websites or traffic sources;

  • approximate location derived from technical information;

  • dates and times of visits; and

  • interactions with the website.

This information may be collected through cookies and similar technologies and is generally used to operate, understand, and improve the website.

4. How Your Information Is Used

Personal information may be used to:

  • respond to inquiries and requests;

  • provide coaching, education, products, programs, events, or other services you have requested;

  • manage bookings and scheduling;

  • communicate with you about services or purchases;

  • process payments, transactions, and refunds;

  • provide customer support;

  • maintain appropriate business and financial records;

  • send emails you have chosen to receive;

  • understand how visitors use the website;

  • improve website content, resources, products, and services;

  • prevent fraud, misuse, or security issues;

  • carry out other purposes that are explained to you at the time information is collected.

I aim to collect only the personal information reasonably necessary for the purpose for which it is being collected.

5. Consent

Where consent is required, I will seek consent that is appropriate to the nature and sensitivity of the information being collected and the purpose for which it will be used.

You may withdraw your consent to certain uses of your personal information at any time, subject to legal, contractual, or other reasonable limitations.

Withdrawing consent may affect my ability to provide certain services where the information is necessary to provide those services.

Simply contacting me, purchasing a service, or working with me does not automatically provide consent to add you to my marketing email list.

6. Email Marketing

If you voluntarily subscribe to my email list, I may send you newsletters, educational content, updates, resources, information about upcoming programs or events, and information about products or services that may be relevant to you.

My email list is managed through Kit (formerly ConvertKit), which processes subscriber information on my behalf.

Where required, commercial electronic messages are sent in accordance with Canada's Anti-Spam Legislation (CASL).

You can unsubscribe from marketing emails at any time by using the unsubscribe link included in my emails.

Unsubscribing from marketing communications will not prevent me from sending non-marketing communications that are reasonably necessary in connection with something you have requested, such as information about an existing coaching relationship, purchase, event registration, transaction, or inquiry.

I do not sell or rent my email subscriber list.

7. Payments and Stripe

Payments for products and services may be processed using Stripe.

When you make a payment, Stripe may collect information necessary to process the transaction, such as your name, email address, billing information, payment-method information, purchase amount, and transaction details.

Stripe processes this information according to its own privacy and security practices.

I may have access to certain information about your Stripe transaction, such as your name, email address, transaction amount, date, payment status, product or service purchased, and limited payment-method information.

I do not directly receive or store your complete credit-card number or card security code.

Transaction records may be retained where reasonably necessary for customer service, bookkeeping, accounting, tax, contractual, fraud-prevention, or legal purposes.

8. Squarespace, Cookies and Website Analytics

This website is hosted by Squarespace.

Squarespace may process information on my behalf in order to host, secure, maintain, and operate the website.

Squarespace uses cookies and similar technologies. Some cookies are necessary for the website to function properly. Other analytics or performance cookies may help provide information about how visitors interact with the website.

For example, website analytics may provide information about:

  • website visits;

  • page views;

  • traffic sources;

  • general visitor activity;

  • website performance; and

  • purchases or conversions where applicable.

This information helps me understand how the website is being used and make decisions about its content and functionality.

Depending on your browser and the features enabled on the website, you may be able to manage cookies through a cookie banner or through your browser settings.

Disabling certain cookies may affect the functionality of parts of the website.

If additional analytics, advertising, or tracking technologies are introduced in the future, this policy may be updated to reflect those changes.

9. Service Providers

I use third-party service providers to help operate my business and provide services.

These may include providers for:

  • website hosting and functionality, such as Squarespace;

  • email marketing, such as Kit;

  • payment processing, such as Stripe;

  • scheduling or booking;

  • video conferencing;

  • cloud storage;

  • accounting and bookkeeping;

  • forms and questionnaires; and

  • other administrative or technology services reasonably necessary to operate the business.

These service providers may only receive the information reasonably necessary for them to provide their services.

Each third-party provider is responsible for its own privacy and security practices.

10. Information Processed Outside Canada

Some of the technology providers used by Emma Jack Coaching may process, store, or access information outside of Canada.

This may include providers such as Squarespace, Kit, Stripe, or other technology platforms used to operate the business.

When personal information is processed or stored in another country, it may be subject to the laws of that jurisdiction and may be accessible to courts, law-enforcement agencies, or government authorities in accordance with those laws.

I remain responsible for personal information under my control and take reasonable steps when selecting service providers that handle personal information on my behalf.

11. How Information Is Shared

I do not sell or rent your personal information.

Personal information may be shared only where reasonably necessary, including:

  • with service providers that help operate the business;

  • to complete a purchase or transaction;

  • when you have requested or authorized the disclosure;

  • with professional advisers such as accountants, bookkeepers, lawyers, or other advisers where reasonably necessary;

  • where required by law, regulation, court order, or other legal process;

  • where reasonably necessary to prevent fraud, investigate security concerns, or protect legal rights or safety; or

  • in another circumstance where you have been informed of and consented to the disclosure.

12. How Information Is Protected

Reasonable administrative, organizational, and technical safeguards are used to protect personal information against unauthorized access, use, loss, disclosure, alteration, or destruction.

These safeguards may include measures such as password-protected accounts, secure third-party platforms, access controls, and limiting access to personal information where reasonably appropriate.

However, no website, email system, online platform, or method of electronic storage or transmission can be guaranteed to be completely secure.

If a privacy or security breach occurs, I will take reasonable steps to investigate and address it and will provide any notifications required by applicable privacy law.

13. How Long Information Is Kept

Personal information is retained only for as long as reasonably necessary for the purposes for which it was collected or where retention is required for legitimate business, contractual, tax, accounting, regulatory, or legal purposes.

Different types of information may therefore be retained for different periods of time.

For example, transaction and financial records may need to be retained longer than a general website inquiry.

When personal information is no longer reasonably required, it may be securely deleted, destroyed, or anonymized.

14. Your Privacy Rights

You may contact me to:

  • ask what personal information I hold about you;

  • request access to your personal information;

  • request correction of inaccurate or incomplete information;

  • withdraw consent where consent is being relied upon;

  • unsubscribe from marketing communications;

  • ask that certain information be deleted where legally and reasonably permitted; or

  • ask questions or raise concerns about my privacy practices.

Some information may need to be retained even after a deletion request where it is reasonably required for legal, tax, accounting, contractual, security, or other legitimate purposes.

Privacy requests can be submitted to:

I may need to verify your identity before providing access to or making changes to personal information.

15. Third-Party Websites and Services

This website may contain links to third-party websites, booking platforms, resources, social-media platforms, products, or other online services.

I am not responsible for the privacy practices, content, or security of third-party websites or services.

When you leave this website or choose to interact with another platform, that provider's own terms and privacy policies apply.

16. Changes to This Privacy Policy

This Privacy Policy may be updated from time to time to reflect changes to the website, business practices, services, technology providers, or legal requirements.

The most current version will be posted on this page along with the date it was last updated.
